Staffing Coordinator

Position Overview

The Staffing Coordinator is responsible for managing caregiver placement and staffing coordination for Home Health Aides (HHAs) following the onboarding process. This role serves as the primary connection point between patients and caregivers to support continuity of care, successful caregiver placements, meet and greet coordination, reassignment needs, and ongoing staffing coverage based on availability, location, scheduling needs, and overall fit.

Key Responsibilities

• Maintain active lists of patients seeking staffing and HHAs available for assignment

• Coordinate and schedule caregiver/patient meet and greets

• Match caregivers and patients based on availability, location, scheduling needs, and overall fit

• Serve as the primary staffing contact for HHAs after onboarding is completed

• Manage caregiver assignments and assist with ongoing staffing coordination

• Coordinate backfill coverage and reassignment needs due to discharges, schedule changes, resignations, or open shifts

• Maintain ongoing communication with caregivers regarding assignments, schedule updates, and staffing needs

• Work collaboratively with Recruiting, Clinical, Scheduling, and HR teams to support continuity of care

• Monitor staffing gaps and assist with placement solutions

• Document staffing activity and communication within company systems

• Support caregiver engagement and retention through consistent communication and follow-up

• Represent the company professionally throughout all patient and caregiver interactions

Required Qualifications

• Previous home healthcare experience highly preferred

• 3+ years previous staffing, scheduling, or coordination experience required

• Strong communication and relationship-building skills

• Strong organizational skills and attention to detail

• Ability to manage multiple priorities in a fast-paced environment

• Problem-solving and conflict resolution abilities

• Proficiency in Microsoft Office and general computer systems

Preferred Qualifications

• Experience working within home healthcare or caregiver staffing environments

• Knowledge of caregiver scheduling and staffing coordination processes

• Experience working with scheduling systems, EMR systems, or Paychex preferred

• Experience supporting caregiver retention and continuity of care initiatives
