Operations Manager - Home Healthcare

Position Summary:

The Operations Manager is responsible for leading and overseeing the daily operational performance of the home healthcare agency while ensuring regulatory compliance, operational excellence, census growth, and high-quality patient care delivery. This leadership role manages direct reports across non-clinical departments and is accountable for improving workflow efficiency, tracking key operational metrics, and driving strategic growth initiatives.

The ideal candidate is a results-driven healthcare leader with strong operational management experience, demonstrated leadership capabilities, and extensive knowledge of home health regulations and performance management.

Leadership & Team Management
  • Provide leadership, coaching, and performance management for direct reports including coordinators, office staff, schedulers, intake personnel, and operational team members.
  • Foster a culture of accountability, collaboration, professionalism, and continuous improvement.
  • Conduct regular team meetings, performance reviews, and staff development planning.
Operational Oversight
  • Manage daily agency operations to ensure efficient delivery of home healthcare services.
  • Develop and implement operational strategies to improve workflow efficiency, productivity, and service quality.
  • Identify operational bottlenecks and implement process improvements to optimize patient care coordination and staffing utilization.
  • Oversee scheduling, staffing levels, intake processes, and resource allocation.

  • Regulatory Compliance & Quality Assurance
  • Ensure full compliance with federal, state, and local healthcare regulations including Medicare, Medicaid, HIPAA, OSHA, and accreditation standards.
  • Maintain agency readiness for audits, surveys, and compliance reviews.
  • Collaborate with clinical leadership to monitor quality outcomes and implement corrective action plans when necessary.
  • Ensure adherence to company policies, documentation standards, and operational protocols.
  • KPI Tracking & Performance Management

    Track, analyze, and report key operational metrics and performance indicators including:


    • Census growth
    • Admissions & Referrals
    • Employee retention
    • Patient satisfaction
    • Visit utilization
    • Scheduling efficiency
    • Revenue and productivity metrics
  • Develop operational dashboards and reporting processes to support leadership decision-making.
  • Monitor performance and implement action plans to achieve operational and financial goals.

  • Census Growth & Business Development
    • Support agency growth initiatives through relationship development with referral sources, healthcare providers, hospitals, and community partners.
    • Collaborate with teams to increase patient census and market presence.
    • Monitor referral trends and identify opportunities for service expansion and operational scalability.
    Financial & Administrative Management 
    • Assist with budget management, cost control initiatives, and operational forecasting.
    • Monitor payroll, overtime, staffing ratios, and operational expenses to ensure financial efficiency.
    • Prepare operational reports and present performance updates to executive leadership.
    Qualifications 
    • Bachelor’s degree in Healthcare Administration, Business Administration, Nursing, or related field preferred.
    • Minimum of 3–5 years of healthcare operations management experience, preferably within home health, hospice, or post-acute care.
    • Demonstrated leadership experience managing direct reports and multidisciplinary teams.
    • Strong understanding of Medicare, Medicaid, and home healthcare regulatory requirements.
    • Proven experience tracking KPIs, operational metrics, and census growth initiatives.
    • Experience improving workflow efficiency and implementing operational process improvements.
    • Excellent communication, leadership, analytical, and organizational skills.
    • Proficiency with EMR/EHR systems and Microsoft Office Suite. 
    Preferred Qualifications 
    • Home healthcare or hospice industry experience strongly preferred.
    • Experience with multi-site operations management.
    • Knowledge of budgeting, financial reporting, and operational forecasting.
    • Clinical licensure (RN/LPN) is a plus but not required. 
    Location
    • Must be located within 2 hour driving distance of Bedford, IN or willing to travel on a predetermined basis.
